What You Should Know...

This Is Important...

Effective Date: 2025-07-25

Scope & Customization

Every business is different. Admin Associate provides operational and business support based on your business, your priorities, and where additional capacity or expertise is needed.

We begin with a conversation about your business, what you’re managing, what you want to accomplish, and where support would make the most difference.

Before work begins, we’ll agree on the scope of support, including priorities, responsibilities, hours or project requirements, pricing, and timelines. A service agreement will outline the details of our working relationship.

Support & Scope

Support may include operational management, administration, systems and processes, project coordination, e-commerce support, marketing support, or other business functions that fall within the agreed scope.

The level of involvement depends on what your business needs. This may include:

  • Ongoing operational support — regular involvement in the day-to-day running of the business, with priorities managed as they arise.

  • Project-based support — focused support for a specific project, implementation, launch, system, or period of change.

  • Specialized support — assistance in a defined area such as e-commerce, social media, website management, or business systems.

Support is not simply task completion. Where appropriate, Admin Associate may identify issues, recommend improvements, and bring attention to things that need to be addressed.

Hours, responsibilities, deliverables, and timelines will be established as part of each engagement.

Unused hours do not roll over unless agreed in writing. Work outside the agreed scope will be discussed before additional time or fees are incurred.

Communication

Communication methods will be agreed at the beginning of the engagement and may include email, phone, text, or shared business and project tools.

Regular communication, updates, task review, and priority-setting are part of the working relationship. The goal is to keep work moving without unnecessary back-and-forth or the client having to manage the support itself.

Invoicing & Payment

Invoices are issued according to the terms established for your service or project and may be weekly, bi-weekly, monthly, or based on project milestones.

Payment is due according to the terms stated on your invoice or service agreement. Deposits or advance payment may be required for new clients or specific projects.

All payments are non-refundable unless otherwise agreed in writing.

Cancellations & Changes

Ongoing retainer services require 30 days’ written notice to cancel. The client remains responsible for payment during the notice period. No refunds are provided for payments already made or for any portion of the current billing period.

Project-based services are subject to the cancellation and payment terms outlined in the applicable service agreement.

Business needs can change during an engagement. If priorities, responsibilities, or the scope of work change, we can review and adjust the arrangement as needed. Any changes that affect the level of support, fees, or timelines will be confirmed in writing before the change takes effect.

Revisions & Approvals

Where a service includes a specific deliverable requiring client review, the applicable service agreement will outline the included revisions and approval process.

Requests that change the original scope, require substantial reworking, or extend beyond the agreed deliverables may be treated as additional work and may be subject to additional fees.

Confidentiality & Ownership

Client and business information shared with Admin Associate will be treated as confidential and used only as reasonably necessary to provide the agreed services, except where disclosure is required by law or otherwise authorized.

Original deliverables created specifically for the client become the client’s property once all applicable fees have been paid, unless otherwise agreed in writing.

Admin Associate retains ownership of pre-existing materials, templates, processes, systems, methods, and know-how used in providing services.

Non-confidential work may be referenced or displayed as part of the Admin Associate portfolio unless otherwise agreed with the client.
